Auto Attendants and Call Routing: Designing a Phone System People Can Actually Use
A phone system can have dozens of routing features and still provide a poor caller experience.
Start with the caller
What is the caller trying to accomplish? A menu should help them reach the right person or information without making them navigate unnecessary options.
Keep routing understandable
Simple choices are usually easier to use and maintain. Complex call trees can become difficult to update when staff or responsibilities change.
Plan for exceptions
Consider after-hours calls, holidays, unavailable staff, emergencies and callers who do not know the correct department.
Review routing regularly
A phone system can quietly become outdated as a business changes. Old names, departments and numbers can remain in menus long after the organization has changed.
Technology should support the process
The best call routing configuration reflects how the business actually operates rather than what the phone platform happens to make possible.
