Why Technology Knowledge Should Not Live With One Person
A business can have reliable technology and still have a serious technology risk if only one person understands it.
The single-person problem
If the person who knows the passwords, network layout, phone configuration or backup process is unavailable, the business may not know how to respond.
Documentation is part of resilience
Important systems should have enough documentation that another qualified person can understand them.
Knowledge transfer matters too
Documentation is useful, but people should also understand the basic operating model. A short explanation can be more valuable than a folder full of unexplained screenshots.
Build independence
Good technology support should make the customer more capable over time. That may mean teaching staff, documenting systems or explaining why a configuration exists.
Technology knowledge is an asset. Protect it like one.
